Requirements

Previous experience working within an HR Shared Services or HR Operations function, providing administrative and operational support.
• Strong practical experience managing employee lifecycle processes, including joiner, mover, and leaver activities.
• Experience delivering first-line HR policy advice to employees and line managers.
Systems and Technical Skills
• High proficiency in Microsoft Excel, PowerPoint, Word, and especially Outlook.
• Hands-on experience using Workday HR systems.
• Working knowledge of employee benefits administration.
• Experience using AI tools to analyse, improve, and optimise HR processes and team capability.
Data and Analytical Skills
• Experience gathering, managing, and analysing HR data to identify trends and themes.
• Ability to support data-driven insights and reporting.
Personal Attributes
• Self-motivated, resilient, and adaptable to change.
• Strong team player with excellent communication and relationship-building skills.
• Highly organised with strong attention to detail and accuracy.

Responsibilities

Deliver high-quality HR services as part of the HR Shared Services team.
• Proactively collaborate with both internal and external stakeholders to create positive and meaningful employee experiences.
• Use AI-driven tools and continuous improvement principles to consistently deliver a “right-first-time,” employee-focused service.

Function / Business Unit Overview
• The team oversees the full employee lifecycle by managing HR processes, providing policy guidance, and supporting employees throughout their journey.
• Services are delivered either directly by the team or through close collaboration with other HR and business teams across the UK.

Key Stakeholders
• Line Managers and Employees
• HR colleagues and the HR Leadership Team
• Group Finance, HR Information Systems (HRIS), and Procurement teams
• External service providers, including Payroll, Occupational Health, and Benefits partners

Key Accountabilities and Deliverables
Employee Lifecycle Management
• Administer, streamline, and continuously improve end-to-end employee lifecycle processes (including joiners, movers, and leavers).
• Ensure employees receive a positive experience whenever changes occur in their employment status or circumstances.
Workload and Case Management
• Manage a shared volume of HR queries through a central Outlook inbox.
• Track incoming cases while proactively managing priorities and stakeholder expectations.
HR and Payroll Support
• Act as the first point of contact for all HR and payroll-related enquiries.
• Engage with employees, line managers, and HR colleagues to provide accurate, timely guidance while maintaining high customer service standards.
Vendor and Payroll Coordination
• Liaise with outsourced service providers to ensure monthly, cyclical, and year-end payroll and benefits services are delivered in line with agreed service level agreements (KPIs).
HR Systems and Data Management
• Maintain and update core HR systems, including Workday and the externally hosted benefits platform.
• Support ad-hoc and complex data requests, working closely with the HRIS team as required.
Finance and Invoicing Support
• Assist with invoicing activities using SAP, including raising purchase requisitions, creating purchase orders, and setting up new vendors.
Project and Team Support
• Contribute to HR projects and initiatives as needed to support wider team objectives and priorities.
